Comprehensive guide to using the TAS CRM system

1. New Tenant Registration

Get started by registering a new organization directly from the home page.

Workflow:
  1. On the Home Page, navigate to the Try Now section.
  2. Enter your Email Address and basic details.
  3. The system will validate your email and automatically provision a secure, isolated tenant environment.
  4. Check your email for your initial Admin credentials to log in.

2. Getting Started (Tenant Admin)

The initial setup requires the Tenant Admin to log in and configure the environment.

Workflow:
  1. Navigate to the Login page.
  2. Enter your Tenant Admin credentials provided in the registration email.
  3. Once logged in, you will have access to the Admin menu to manage your organization's environment.

3. User Management (Adding Users)

Tenant Admins are responsible for creating accounts for their team members.

How to Add a User
  1. Go to Admin > Users in the navigation menu.
  2. Click the Add New User button.
  3. Fill in the user details (Email, Password, Role).
  4. Assign the appropriate Role:
    • User: Standard access to CRM features (Customers, Visits).
    • Admin: Can manage other users within the tenant.
  5. Click Register to create the account.
Note: Only active users can log in. You can deactivate a user at any time from the User Management list without deleting their data.

4. Operations (Property of Standard Users)

Once logged in, standard Users and Admins can perform daily CRM operations.

Managing Customers

To register a new shop or customer:

  • Navigate to Operations > Customers.
  • Click New Entry.
  • Select Register New Customer.
  • Fill in the shop details, route, and capture the location.
Follow-up Visits

To record a visit to an existing customer:

  • Go to Operations > Follow-up Visits or click New Entry in Customers.
  • Select Follow-up Visit.
  • Use Search Nearby to find customers close to your current location (within 1000m).
  • Select the customer and record visit details (Stock, Photo, Remarks).

5. Admin Originality (Anti-Counterfeiting)

Authorized Admins can manage the product verification system.

This module allows you to generate unique, secure QR codes for your products.

  • Navigate to Operations > Admin Originality (Visible only to Admins).
  • Generate Batch: Create a new batch of codes (e.g., "Batch 2024-A").
  • Print Codes: Select a batch and click "Print All" to generate a printable format for product labeling.
  • Track Usage: Monitor how many codes have been generated vs. your license limit.

Scan generated codes to verify product authenticity.

6. Attendance System

Track employee presence, monitor punctuality, and manage leaves effectively.

Daily Check-in/Check-out

To record your daily attendance:

  • Navigate to Attendance from the dashboard.
  • Click Check In when you start your workday.
  • Click Check Out when you finish.
  • The system will securely capture your timestamp and location.
Mgmt & Reporting (Admins) [Under development]

Admins have access to comprehensive reports:

  • Attendance List: View all check-ins/outs easily.
  • Punctuality Reports: Identify late arrivals and absences based on configured office hours.
  • Leave Management: Manage standard and custom leave types, and review employee leave requests.

7. Work Zone Management

Define geographical work zones and assign users to ensure they operate within designated areas.

Creating a Work Zone

To create a new geographical boundary:

  • Navigate to Admin > Work Zones from the menu.
  • Click on New Work Zone or Add Zone.
  • Provide a descriptive name (e.g., "North District").
  • Use the interactive map to draw the boundary.
  • Save the work zone to make it available for assignment.
Assigning Users

To allocate employees to a specific zone:

  • While in Admin > Work Zones, select an existing zone.
  • Look for the Manage Users or Assign Users section.
  • Select the users you want to assign from the list of available employees.
  • Save your assignments. These users are now linked to this geographical area.
